Instructions for the deposit of academic and creative products by UPRM students within the Institutional Digital Repository of the University of Mayaguez.
Description: The collection of “Student Works” includes a variety of documents produced by the academic and creative labor of the students. This includes: publications (such as books, chapters, articles, websites, technical reports, etc.), congress presentations, posters, undergraduate theses, products (such as maps, graphs, codes, etc.), classwork and more.
The works have been created by graduate or undergraduate UPRM students.
The works have been presented in the UPRM or have served as representation for the UPRM within a local or international setting by graduate or undergraduate UPRM students.
Furthermore, in this section is where you will find works, such as capstones or project reports, that were submitted by undergraduate students from the University of Puerto Rico-Mayaguez as part of a requisite for a course.
Thesis and dissertations prepared by graduate students will be stored in the collection called “ Thesis and Dissertation”.
If you presented a work in one of the University’s conferences or activities, the content will be deposited in the collection titled “Conference Proceedings & Events”.
Requisites
The documents deposited must be final and have to include approved revisions from the professor or mentor.
The document can only be submitted as a PDF or PDF/A file.
If it has some kind of link for a product available online, a field or area will be provided for the inclusion of the link.
Before Starting
Standardize the name of the document.
Change the name of the document into the following format: PROGRAMINITIALS_LastnameOtherlastnameInitial_Year
Example: INME_ValenciaRomeroA_2016
If there are various authors, include the initials.
Example: INME_VRA_TMO_RSI_PRV_2016
If it was presented at an event (outside campus), look for the complete and official name (You will need it).
The file size should not exceed 5MB. You may use programs such as Adobe Acrobat, Apple Preview, Windows-PDF Compressor, Ilovepdf, and others.
Capstone deposits.
Before depositing, the student should hand in THE ENTIRE final document to their project mentor.
Every semester, all designated faculty personnel will send a list to the repository administrators with the names and emails of those who approved the project.
Once this list is received, an account with deposit privileges will be created for the student in the collection of student works.
All products generated as part of the capstone (poster, presentation, code, etc.) will be included as attachments under one register.
If you would like for the PDF to be maintained closed, (users can only read the accompanied descriptions) there is an option where you can place an embargo for a determined amount of time where you must either; provide a date of availability for when the document will once again be accessible or specify that it will be for an indefinite amount of time.
Deposit Through a Nomination
The process of depositing the rest of the products created by UPRM students is exclusively realized through a direct nomination by a professor or mentor.
This alternative assures that the works are original and of high caliber.
Furthermore, it strives to serve as an incentive for more investigations and creative work through the dissemination of the final product.
Deposited works obtain a permanent link that will give the student the opportunity to demonstrate and exhibit their achievements in their curriculum and academic portfolios from their labor at the university.
In order to nominate the work of a student
The professor/mentor needs to send the nomination by completing the following document: https://uprm.libsurveys.com/studentworks
Once approved, the personnel will reach out to the student to inform them about the nomination. If the student accepts, the permission to deposit will be given to the student in order for them to be able submit their work to the repository.
Important
If the document was written by multiple authors, all authors must give their permission to upload the work, but only one of the authors must upload the work in order to avoid duplicity.
If the article was published:
On many occasions, the author yields his rights to the publishing house (read contract). This means that in order to be able to deposit the work into the repository, the owner of the copyright’s permission is needed, or a version of the work must be found that can be submitted to the repository without violating copyrights/ownership rights.
Some versions are: pre-print, post-print,publisher version.
Revise the politics or contract of publication within “self-archiving” or “institutional repository” of the publishing house or journal.

This application indicates what version the magazine permits you to submit, following four colors: green, blue, yellow, and white.
If you prepared a lecture or presentation or have various related products, you may put all attachments under the same register.
If it is a book or a chapter of a book, contact the publishing house for instructions.

Instructions for a Deposit
Each student is responsible for creating their own account in order to upload their content.
Go to the repository’s page: scholar.uprm.edu
At the bar on top of the page, press “ Login” in order to access the repository with your institutional account or “Create account/Login” found in the first box under the search bar.
