Help using and depositing in the institutional repository

Instructions

Instructions for the deposit of academic and creative products by the faculty/investigators of the UPRM in the Digital Institutional Repository of the University of Mayaguez. 

Description: The collection titled “Faculty/Research Works” includes a diverse variety of documents produced by the creative and academic labor of the faculty and investigators. This includes: publications (such as books, chapters, articles, web pages, technical reports, etc.), congress presentations, posters,products (such as maps, graphs, codes, etc.) and more.  

  • The work must have been produced as a professor or investigator at the UPRM. 

  • The work must have been presented at the UPRM, or must have served as representation for the UPRM in a local or international setting, while the author of the work was a professor/investigator at the UPRM. 

If you presented a work at a conference or activity in our university campus, the content would be deposited into the collection titled “ Conference Proceedings & Events”.

 Before you start

  • Convert your work into a PDF or PDF/A file. Make sure the hyperlinks are functioning properly. 

  • Standardize the file’s name according to the following format (Do not use accent marks). 

  • Lastname_date_typeofdocument

    • Example 1: OrtizG_20190425_chapter

    • Example 2: BellidoC_20180612_article

  • If you presented the work at an event (outside campus), find the official and complete name (you will need it). 

  • The file size cannot exceed 5MG. You may use programs such as Adobe Acrobat, Apple Preview, Windows-PDF Compressor, Ilovepdf, and others. 

 Important

  • If the document was redacted by various authors, all authors must give permission in order to upload it, but only one author must upload it for the purpose of avoiding duplicity. 

  • If the article was already published: 

    • In many occasions, the author yields his rights to the publishing house (read contract).  This means that in order to be able to deposit the work into the repository, the owner of the copyright’ s permission is needed, or a version of the work must be found that can be submitted to the repository without violating copyrights/ownership rights. 

      • Some versions are: pre-print, post-print,publisher version. 

  • To corroborate what version you are allowed to deposit: 
    • Revise the politics or contract of publication within “self-archiving” or “institutional repository” of the publishing house or journal. 

    • Find the magazine in Sherpa/Romeo: http://www.sherpa.ac.uk/romeo/index.php

    • This application indicates what version the magazine permits you to submit, following four colors: green, blue, yellow, and white. 

  • If you prepared a lecture or presentation or have various related products, you may put all attachments under the same register. 

  • If it is a book or a chapter of a book, contact the publishing house for instructions. 

  • If you have any doubts, please contact the library for assistance through  gric@uprm.edu​

  • Go to the repository’s page: scholar.uprm.edu

  • At the bar on top of the page, press “ Login” in order to access the repository with your institutional account.

  • Utilize the UPR’s credentials.

Descriptive Fields: Articles

The following section requires you to complete various fields with information about your document. It would be much appreciated if you filled them out carefully, watching out for accents and possible orthographic errors.  As a general rule, capitalized letters will only be used at the beginning of a title or subtitle(if there is any), in geographical or proper names, acronyms, and symbols.  

In order for you to be sure that you have all the information you need, read the following detailed fields.

Title

Fill in your document's title. If there is a subtitle, please seperate it with two period (:). Only use capital letters at the beginning of the title and subtitle (if any), in geographical or proper names, acronyms, and symbols.  

Other Titles

If the title is in another language, add it in this section. 

Author

Submit the last names and name of the main author. If there are co-authors, click on Ädd"and add each of the co-authors. 

Description

Place the summary of the article. 

College

Select the faculty that the principal author belongs to. 

Department

Select the department where the principal author belongs to. 

Program

Select the program where the principal author belongs to. 

Language

Select the principal language in which the document is written in. 

Type

Select “Article”.

Copyrights Holder

Indicate the name (s) of the copyright holder of the document. 

Utilize the following format (c) Year Name LastName

Date

Indicate the year, month and day in which you published the content. 

Published

Indicate the name of the publishing house. 

Online Resource

If it is published, place the link (DOI, Handle or URL) of the document. If not, leave in blank. 

Article version

Pick the version of the article. 

Series

Indicate the number or name of the series. Example: Bulletin 123.  

Citation

Write the complete reference of the publication. 

ISSN

Write the ISSN of the journal where the article was published. 

Acknowledgments (Sponsorship)

Indicate the support or financial aid in order to complete the investigation.  

If there are not any, leave in blank.

Keywords

Enter key words or phrases. To add multiple, write the first and then click  “Add”. You may include up to (5) key words. 

File

Upload your document. Remember to change the files name before uploading. 

File Description

Leave in blank.

Embargo until specific date

If you wish, you may restrict the access to the document through an embargo. Indicate the year, month, and day in which the document can be consulted. If you do not desire an embargo, leave in blank. 

Embargo reason

Indicate the reasons why the document is in embargoe. If you do not have an embargo, leave in blank.  

License Type

In this section, indicate the instructions of use for your content. You have four options to choose from. 

  • Public domain– Choose this option if the work is NO LONGER copyrighted or has authorship rights (Ex. Material that was published before 1923) (“No Known Copyright”)

  • CC0– Choose this alternative if, as an author, you yield all rights to the work.  This includes the right to copy, distribute, exhibit, and present the work,  or create other works derived from the original, for whatever purpose without having to ask for permission. (“No Rights Reserved” ).

  • Creative Commons– Select this alternative in order to grant a license for the use of the work. In this case, your work can be copied, distributed and transmitted by others as long as they follow the following instructions. (“ Some Rights Reserved” ). 

    • Allow commercial use – If it is allowed to be used commercially. Select  “Yes”, if the person DOES NOT need to ask for your permission. Select “No”, if the person has to ask you permission BEFORE they utilize it for commercial purposes. 

    • Allow modifications– The permission to copy, distribute, and transmit a modified version derived from your work. Select “Yes”, if the person can create a modified or derived version of your work. Select “ShareAlike” if they must share under the same license. Select “No” if they are NOT allowed to create derived or edited versions of the work. 

    • No Creative Commons– Select this option if you desire to keep all rights to your work (“All Rights Reserved”).

Distribution License

The repository's most important role is to be able to preserve and make accessible the scientific production of our university. For this to be possible, you must give us the permission to reproduce and distribute your work by accepting this distribution license. Read the terms carefully and check the box next to the text “I Grant the Licence”.

Review

Review all of the fields you just filled out. If you must make changes to one of them, click on  “Correct one of these” that is located below the section. Once it is fixed, press “Next” until you reach this section. 

If you do not desire to make more corrections and the document is ready for submission, press “Complete submission”

 

This completes the depositing process. The document will now go under a revision and quality control process. Once in the system, the cataloguers will add various points of access and, when approved, it will be available to the public. When it becomes accessible, you will receive an e-mail.

Copyrights Holder

Indicate the name(s) of the share holders of the document. 

Utilize the following format: (c) Year Name LastName.

Date

Indicate the year, month, and day in which the content was presented. 

Published

Indicate the name of the publishing house.

Online Resource

If it is published, place the link (DOI, Handle or URL) here, if there is not any, leave in blank. 

Citation

Write the complete reference for the publication.

FAQ

In the section “Submissions” I do not have any options in order to deposit  in any collection. 

  • Write and e-mail to gric@uprm.edu with your full name, college, program, and department, the collection you are requesting permission for and why. 

I cannot enter the data in this moment. 

  • If you must interrupt the process, you can go to the end of the page and press “Save & Exit”. In the menu, pick the alternative that seems best for you. 
  • To continue filling out the fields, on the right column, go to  “Submissions”. In the section Unfinished submissions, press over the title that you want to work on and then press “Resume”.

My program or department does not exist

  • Write an email to gric@uprm.edu with the full name of the program and department that it belongs to. 

Access to the documents of a collection 

  • Unless the authors solicited an embargo, the archives should be available.
